Choir Booking Terms & Conditions 🎶
Thank you for your interest in booking Hot Gospel and/or All For One Choir.
To help us deliver the very best experience possible, please read the following terms and conditions carefully before confirming your booking.
1. Booking Information
The information supplied on the booking form will be treated as the agreed basis of the event booking. It is therefore essential that all details provided are accurate and complete, including:
• Venue address
• Performance times
• Access arrangements
• Parking/loading information
• Power supply availability
• Stage/performance area details
• Audience size expectations
• Indoor/outdoor performance information
• Contact details for the event organiser
Failure to provide accurate information may affect the choir’s ability to perform as planned.
2. Changes to Booking Details
Any significant changes to the original booking information must be communicated in writing as soon as possible.
This includes but is not limited to:
• Changes to timings
• Venue changes
• Changes to performance duration
• Changes to technical requirements
• Changes to access arrangements
• Significant reductions or increases in audience size
We reserve the right to revise pricing or performance arrangements where substantial changes are made after booking confirmation.
3. Performance Space & Safety
The organiser is responsible for ensuring that the performance area is safe, suitable and compliant with relevant health and safety regulations.
This includes:
• Safe access to the venue
• Adequate lighting
• Appropriate shelter for outdoor events where applicable
• Safe electrical supplies
• Sufficient space for performers and equipment
The choir reserves the right to refuse to perform if conditions are deemed unsafe.
4. Technical Requirements
Where technical equipment is being provided by the organiser, all requirements discussed prior to the event must be met.
Failure to provide agreed technical requirements may result in delays, shortened performances or inability to perform.
5. Deposits & Payments
A non-refundable deposit may be required to secure your booking.
Full payment terms and deadlines will be outlined within your booking confirmation and invoice documentation.
Late payments may result in cancellation of the booking.
6. Cancellations
Cancellation terms will be confirmed at the time of booking.
Any deposits are non-refundable unless otherwise agreed in writing.
7. Weather & Outdoor Events
For outdoor performances, the organiser must provide suitable cover and weather contingency plans where necessary.
The choir reserves the right to pause or cancel performances in adverse weather conditions where safety or choir members or equipment could be compromised.
8. Photography & Media
The choir reserves the right to use photographs and video footage from public performances for promotional purposes unless agreed otherwise in writing prior to the event.
9. Behaviour & Respect
We kindly ask that all communication with choir leaders, choir members, musicians, crew and volunteers remains respectful and professional at all times.
We reserve the right to withdraw from events where abusive, threatening or unsafe behaviour is experienced.
10. Promotion
Where the event is being publicly promoted in any format including social media, websites, printed materials or press coverage, the organiser agrees to support promotion of the choir performance using official choir promotional materials where reasonably possible.
This may include:
• Sharing official choir social media pages
• Tagging the choir in promotional posts
• Using approved choir photographs or videos
• Including choir logos or promotional wording supplied by us
• Allowing the choir to share event promotional content across our own platforms
The organiser also agrees that photographs and video footage captured during the event may be used by the choir for future promotional and marketing purposes unless otherwise agreed in writing prior to the event.
11. Agreement
Submission of the above booking form and payment of any deposit confirms acceptance of these terms and conditions.
